1.    Purpose of processing

Hitachi Energy Sweden AB (“Hitachi Energy”) collects data through video surveillance systems for various reasons:

•           To control access to the building and to ensure the security of the building, the safety of Hitachi Energy staff and visitors, as well as property and information located or stored on the premises.

•           To prevent, deter, and if necessary, investigate unauthorized physical access, including unauthorized access to secure premises and protected rooms, IT infrastructure, or operational information.

•           To prevent, detect and investigate vandalism, theft of information, equipment or assets owned by Hitachi Energy, visitors or staff, or threats to the safety of personnel working at the office (e.g. fire, physical assault).

•           To support the maintenance of health and safety standards in the workplace.

•           To collect evidence for civil/insurance claims and to support law enforcement agencies in deterring and detecting crime. The video surveillance system is not used for any other purpose, such as to monitor the work of employees or their attendance.

The cameras are aimed to give a general overview of what's happening in certain places, but the purpose is not to recognize people unless a physical security incident is involved. Cameras are placed so that they do not overlook public areas outside Hitachi Energy area.

The system is not used as an investigative tool or to obtain evidence in internal investigations or disciplinary procedures. However, situations can arise where Hitachi Energy needs to use video recordings to investigate an allegation of gross misconduct or other disciplinary matters. In exceptional circumstances, the data may be transferred to internal (e.g. Office of Special Investigations or Global Data Protection Officer) and external (e.g. police forces, the Data Protection Authority) compliance, security, or investigatory bodies in the framework of data protection compliance, a formal disciplinary or criminal investigation.

 

2.    Legal grounds

Hitachi Energy is carrying out video surveillance in pursuit of its legitimate interest in protecting its property, goods and information and maintaining the safety of persons using its premises. Therefore, the processing is lawful under Article 6.1.f of the General Data Protection Regulation.

 

3.    The following information may be collected from you by Hitachi Energy

Hitachi Energy only collects images caught on camera, no sound or voice is recorded.

 

4.    Who is responsible for processing your personal data?

5.    Recipients of the personal data

Who has access to video recordings?

The video recordings can be accessed only by the dedicated security staff of Hitachi Energy and by Addici Security.

Access to the hard-disk video recorder is highly limited, using technical and organizational measures. The data cannot be accessed without the authorization of Hitachi Energy Security Manager.

 

6.    Data Transfers

Hitachi Energy does not sell or otherwise disclose your personal data collected for this purpose to third parties. Only government officials (police, fire department, judicial department, the data protection authority, etc.) can - only when required by law - request and receive access to the video footage.

Video footage will be processed (stored, viewed etc.) in the following country / countries: Sweden

 

7.    Retention

We retain the personal data processed no longer than necessary for the purpose for which it was collected (including as required by applicable law or regulation).

The recorded data is in principle erased automatically after a period of maximum 30 days when it’s automatically overwritten by new video footage.

 

8.    Individuals rights and how to exercise them

As a data subject, you have certain rights over your personal data and the controller is responsible for fulfilling these rights.

If you entered the field of one or more cameras, you have the right to view images directly concerning you, and to correct such data. However, this right is limited by the protection of the data of other individuals who also appear in these images.

Corrections can only be made by erasing the images in question. Erasure will not be possible in case of an official investigation. Requests to view, correct or erase images (or to invoke any of your other rights under data protection legislation) can be submitted by completing the relevant form at: https://www.hitachienergy.com/privacy[IJ3]  or by sending an email to [email protected]. Please provide sufficient information so that we will be able to identify the images concerning you, i.e. by providing a date and a reasonable timeframe when you entered the monitored area.

 

9. Security of personal data

Hitachi Energy is committed to protecting the security of your personal data. Therefore, we use technical and organizational measures to help us protect your personal data from unauthorized access, use or disclosure. We keep your data on video and computer systems that are limited in access and are in controlled facilities.
