Basic Function: Perform a wide variety of administrative duties, under limited supervision, utilizing knowledge of established practices and procedures, and following general guidelines of supervisor. Suggest measures to improve

customer relations.

Typical duties/responsibilities for administration may include, but are not limited to, the following:

Produce a variety of documents using various software packages. Manipulate data on existing spreadsheets

and/or database software programs, applying new formulae and formats, as applicable.

Establish and maintain filing systems for a wide variety of documents including those of a highly confidential nature.

Answer and route telephone calls, transmit decisions and instructions for supervisor and maintain supervisor's calendar. Investigate and answer inquiries of a non-routine nature and respond to complaints, as authorized.

Prioritize work, delegate to support staff, and provide guidance and initial training, as applicable. Arrange for office services such as equipment repairs and maintenance.

Screen and prioritize mail, highlighting action items and attaching relevant information. Correlate and edit materials submitted by others, as authorized, contacting authors to assist in resolution of problems.

Monitor and reconcile a wide variety of accounts and inform supervisor of potential problems. Assist in preparing, analyzing and producing budget reports.

Schedule internal and off-site meetings for staff and outside personnel, and arrange for facilities, travel, lodging and equipment. Assemble material for meetings and attend meetings, as directed. Arrange complex domestic and international travel and itineraries for supervisors and other staff.

Complexity of Tasks:     Under limited supervision, exercise discretion and judgment to perform administrative duties that typically contain highly sensitive proprietary information and may involve moderately complex problems, in support of a major functional area or profit center. Requires thorough understanding of practices and procedures related to specific assignment and general knowledge of related tasks. Independently establish priorities for completion of varied administrative and project-oriented duties. Requires ability to communicate effectively with employees and clients.

Qualifications: High School diploma and 5 to 9 years of experience or a special combination of education and experience and/or demonstrated accomplishments.
