SAP Service Operations Support Specialist

The opportunity:

Hitachi Energy strengthen our European Service Operations; we are building a centralized Operations. Support Team. As an Operations Support Specialist, you will play a key role in ensuring data accuracy, operational excellence, and smooth execution of service and project processes across 8 countries. This role combines data management, process stewardship, operational support, and close collaboration with service delivery teams, controllers, SLA and project managers. Opportunity to build and shape a newly formed European central operations support hub.

  • In this role, you will support service operations across multiple European countries by ensuring high-quality.

  • master data, accurate transactional handling, timely milestone updates, and reliable

  • documentation and invoicing processes. You will act as a central point of coordination between service

  • teams, controllers, SLA and project managers to keep operational workflows running smoothly and efficiently.

  • Create, maintain and update material master data in SAP for general and order specific use in line with operational requirements.

  • Ensure accuracy, completeness, and consistency of material data across systems by regular review

  • and update based on input from SCM and service delivery team.

  • Correct data inconsistencies and coordinate with stakeholders for changes or new material

  • Monitor data quality KPIs and support continuous improvement initiatives.

  • Track and maintain On-Time-Delivery (OTD) milestones in relevant systems (SAP / GPP) based on operations inputs.

  • Ensure project and service order timelines are correct and up to date.

  • Support weekly/monthly reporting and escalate potential delays proactively to quality management.

  • Warranty Provision Management

  • Create and update warranty provisions for customer orders in SAP.

  • Ensure correct allocation of warranty costs and align with finance and service teams.

  • Validate documentation and maintain accurate contractual records on warranty start and end dates.

  • Maintain customer master data (SAP MDG) to ensure consistency across all platforms. Process new customer on-boarding request from operations

  • Clarify missing information directly with operations or customer to complete onboarding on time.

  • Validate and process new customer entries and resolve data inaccuracies.

  • Coordinate with internal teams to uphold data quality standards.

  • Service Order Booking & Maintenance

  • Create and update service order bookings based on sales and controlling inputs

  • Ensure accurate cost allocation, activity recording, and compliance with internal processes.

  • Coordinate closely with service technicians and planners to ensure timely data entries.

  • Contractual Guarantee Requests & Processing

  • Support projects managers by review and process contractual bank guarantee requests. Validate data, coordinate approvals, and ensure correct postings in the relevant systems. Keep an accurate audit trail and support compliance requirements.

  • Time Booking for Commissioning Engineers (Cx)

  • Support time bookings for Cx engineers in time booking systems (CollApp and eTime).

  • Ensure completeness and correctness of technicians’ time entries.

  • Resolve discrepancies and maintain high and on time booking accuracy.

  • Responsible to ensure compliance with applicable external and internal regulations, procedures, and guidelines.

Your Background:

  • Apprenticeship, vocational degree, or business/technical education in administration, operations,

  • supply chain, finance, or equivalent practical experience.

  • Experience in service operations, order handling, or similar administrative/operational roles.

  • Solid understanding of SAP modules (e.g., MM, SD, CS) or willingness to learn quickly.

  • Proficiency in Microsoft Office applications (Excel, Word, Outlook, PowerPoint), including

  • managing datasets, creating reports, and handling operational documentation.

  • Apprenticeship, vocational degree, or business/technical education in administration, operations,

  • supply chain, finance, or equivalent practical experience.

  • Experience in service operations, order handling, or similar administrative/operational roles.

  • Solid understanding of SAP modules (e.g., MM, SD, CS) or willingness to learn quickly.

  • Proficiency in Microsoft Office applications (Excel, Word, Outlook, PowerPoint), including

  • managing datasets, creating reports, and handling operational documentation.

  • Strong analytical mindset and attention to detail.

  • Ability to manage multiple tasks and work with stakeholders across countries and cultures.

  • Good communication skills in English; additional European languages are a plus.

  • Experience in data management or master data administration.

  • Familiarity with service operations processes.

  • Knowledge of tools such as ADP etime, SAP, Salesforce.

  • Proactive problem solving and continuous improvement mindset.

  • Ability to work effectively in a virtual, multicultural team.

  • COC & COP Bookings & Invoicing

  • Perform Collaborative Operations Center (COC) and Customer Operations Portal (COP) bookings.

  • Support invoicing processes, validate financial entries, and coordinate follow-up with finance.

  • Ensure accurate billing and timely completion of financial processes.
