Facility Coordinator 80 - 100% (f/m/d)

The Opportunity

We are seeking a highly organized and service-oriented Facility & Front Desk Coordinator to support the efficient operation of our office environment. This dual-function role combines responsibilities in facilities management with front desk and administrative support, ensuring a professional, safe, and welcoming workplace for employees, clients, and visitors. The ideal candidate will demonstrate strong interpersonal skills, attention to detail, and the ability to manage multiple priorities in a dynamic setting.

How you’ll make an impact

  • Reception & Guest Services: Serve as the primary point of contact at the front desk, greeting visitors, managing incoming calls, and ensuring a professional and courteous experience for all guests

  • Facility Operations: Coordinate day-to-day facility functions, including maintenance requests, vendor management, and liaison with building management to ensure a safe and well-maintained office environment

  • Office Supply & Inventory Management: Monitor and replenish office and kitchen supplies, ensuring availability of essential items and maintaining cost-effective inventory levels

  • Meeting & Event Coordination: Manage conference room bookings and assist with the setup and logistics of internal meetings and company events

  • Security & Access Control: Oversee visitor logs, issue access badges, and support compliance with security protocols and emergency procedures

  • Workplace Cleanliness & Organization: Maintain a clean, organized, and inclusive reception area and shared spaces, reinforcing a positive and professional office atmosphere

  • Health, Safety & Accessibility: Support compliance with workplace safety standards and ensure the office environment is accessible and inclusive for all employees and guests

Your background

  • Experience in a customer-facing, service-oriented role (e.g, hotel reception) where diversity, inclusivity, and kindness are valued

  • Relevant commercial qualification or experience in a similar role

  • Comfort with IT and software; adaptable to learning new technologies and tools

  • Fluent in English and German, with a friendly, professional communication style that fosters inclusion
